And the just-merged Department of Nordic Studies and Linguistics \u200b\u200b(NorS), University of Copenhagen (UCPH) will say goodbye to it sometime next year.<\/p>\n<p>We are on the fourth floor of Building 27 on South Campus, on the corner of Njalsgade and Amagerf\u00e6lledvej. The department \u2013 and not least its extensive collections \u2013 take up the 2nd, 3rd, 4th and 5th floor. The room is stocked with shelves and filing cabinets. But this will soon end.<\/p>\n<p>In offices along the corridors, student assistants are scanning away as if their life depended on it. Almost everything is to be digitized and <secret text=\"Storage in the basement will take place in a so-called 'climate-controlled compact archive' to ensure that it is kept for posterity.\">stored in the basement<\/secret>: Photographs of medieval Icelandic manuscripts, maps, records of places and names of people, dialect records from Funen, Zealand and the other Danish islands. Six million pieces of cultural heritage are to be filed online so the department can rent out the premises sometime next year.<\/p>\n<blockquote><p>We quickly agreed that you would rather sit closer to your colleague than not have a colleague<\/p>\n<p class=\"quotee\">Katr\u00edn \u00de\u00f3rd\u00eds Driscoll, Department of Nordic Studies and Linguistics<\/p>\n<\/blockquote>\n<p>They are ahead of schedule, says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll, who heads the digitization project.<\/p>\n<p>&#8220;It turns out we have some really skilled student assistants. From January to September we scanned what we expected we would spend a whole year on. So now we have expanded the project, and can reach more of the dialect research collections\u201d<\/p>\n<p>The remarkable thing about the digitization is not just the speed with which it is taking place. It is also the story behind why it is taking place at all. As the story really started with a severe budget cut that threatened to decimate the department\u2019s staff. Until someone got an idea.<\/p>\n<h2>Rescue plan<\/h2>\n<p>The cut was announced on 15 September last year to a large meeting on South Campus. A consultancy <a href=\"https:\/\/uniavisen.dk\/konsulentrapport-foreslaar-besparelser-paa-115-millioner-kroner-paa-humaniora\/\">report <\/a>had charted out how the Faculty of Humanities could save DKK 75 million \u2013 on top of the DKK 55m that had already been taken as a consequence of government cuts to university funding.<\/p>\n<p>At the meeting, the staff at the Nordic Research Institute (NFI) and the Institute of Nordic Studies (INSS) were told that they were to merge, and that the NFI segment would have to find DKK 9 million in savings, equivalent to 40 per cent of its budget.<br \/>\n<!-- end of module 1 --><br \/>\n\u201cWe quickly agreed that you would rather sit closer to your colleague than not have a colleague. So someone suggested digitizing the collections so that we could reduce our total space,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll.<\/p>\n<p>The rescue plan was as follows: 1) Quickly digitize the department&#8217;s collections, 2) store all the 6 million pieces of cultural heritage in the basement, 3) Move all the staff together to the 2nd and 3rd floor, 4) rent out the surplus space.<\/p>\n<p>The digitization would cost money, but the former director Jytte Sander French estimated that since the hardest cuts were scheduled for 2019, and since several employees had accepted voluntary severance plans during the 2016 round of layoffs at UCPH, there was money for the project.<\/p>\n<p>Associate professor Peder Gammeltoft was given overall responsibility, and Katr\u00edn \u00de\u00f3rd\u00eds Driscoll \u2013 a master\u2019s graduate in history and a <secret text=\"As a student assistant Katr\u00edn digitized the Dictionary of Old Norse Prose.\">former student assistant at NFI<\/secret>\u2013 was taken on to head a team of 15 student assistants that would carry out the digitization.<\/p>\n<p>&#8220;The digitization had been an aspiration for the Department for 10-15 years, but we had never really had time for it,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll.<\/p>\n<p>The cuts, paradoxically, now yielded the missing resources.<\/p>\n<h2>The students<\/h2>\n<p>A bulletin board hangs in a large office on the fourth floor with pictures of the students working on the digitization project.<\/p>\n<p>One of them, Caroline Boolsen from linguistics, sits two metres away and focusses on a computer screen. For her, the project has been a golden opportunity to work with, and not just reading about her field.<\/p>\n<p>\u201cSome of the scanning is routine, but you always have to think, and use your academic skills to ensure a good result. And it&#8217;s certainly good for me to work with things I&#8217;ve only heard about in the classroom,&#8221; she says.<\/p>\n<p>&nbsp;<br \/>\n<!-- end of module 2 --><br \/>\nThe computer screen in front of Caroline Boolsen shows a map of the Shetland Islands with dots marking scanned and entered data on different place names. She is currently in the middle of a project-oriented process on Shetland place names, an idea she got \u200b\u200bduring the digitization.<\/p>\n<p>&#8220;Several independent projects have sprung out of digitization,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll. &#8220;We have one who started up as an intern and who now has short project appointment to look at Greenlandic place names. And we have another student assistant who was interested in manuscripts and who is currently working on communicating medieval manuscripts online.&#8221;<\/p>\n<p>At the department, they regard the students as research colleagues, she says:<\/p>\n<p>&#8220;We hope they see it like this: That they as part of their education are allowed to see what is the basis for research and how a research community works &#8211; and be a part of it.&#8221;<\/p>\n<h2>Had no metadata<\/h2>\n<p>It was almost too good to be true: That slashing a department\u2019s budget could also lead to UCPH moving ahead on the digitization of cultural heritage, thereby amassing large amounts of data in one place so researchers, students and anyone else can easily investigate local place names or family names. And students at the same time would get important business and research experience and launch new research projects.<\/p>\n<p>There is also a catch. At least if you by &#8216;digitizing&#8217; mean a complete online archive from the outset, where you can easily search across the collections.<\/p>\n<blockquote><p>We hope that money will be forthcoming to continue the project and make it more useful. This is what we want. But the finance situation of the Faculty of Humanities is as it is.<\/p>\n<p class=\"quotee\">Katr\u00edn \u00de\u00f3rd\u00eds Driscoll<\/p>\n<\/blockquote>\n<p>&#8220;We have imitated the search process in the physical collections, where you have to do a lot of scrolling. So that&#8217;s what you have to do in the database from the start,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll.<\/p>\n<p>The chronological collection of place names is searchable by year for example. You can search for sources from, say, 1445, but if you want to find out something about Roskilde in that year, you have to browse, also online.<\/p>\n<p>&#8220;But as soon as the database exists, you can change and add information. This can be done ad hoc. But you can also hope that there is money to hire people to enter more information,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll.<\/p>\n<p>There is still alot of work left, in other words, in entering metadata to make the collections easily searchable. And Katr\u00edn \u00de\u00f3rd\u00eds Driscoll cannot say how long this will take.<\/p>\n<p>&#8220;It depends on how much money there is. We have already taken on more work than we have on our budget. We hope that money will be forthcoming to continue the project and make it more useful. This is what we want. But the finance situation of the Faculty of Humanities is as it is,&#8221; she says.<\/p>\n<p>She herself is hired for this specific project until the turn of the year, when the collections will be become available online. But she hopes to be able to stay on if there is funding to continue the project.<\/p>\n<p>The department reckons on vacating the 4th and 5th floors of building 27 around September 2018. And the just-merged Department of Nordic Studies and Linguistics \u200b\u200b(NorS), University of Copenhagen (UCPH) will say goodbye to it sometime next year.<\/p>\n<p>We are on the fourth floor of Building 27 on South Campus, on the corner of Njalsgade and Amagerf\u00e6lledvej. The department \u2013 and not least its extensive collections \u2013 take up the 2nd, 3rd, 4th and 5th floor. The room is stocked with shelves and filing cabinets. But this will soon end.<\/p>\n<p>In offices along the corridors, student assistants are scanning away as if their life depended on it. Almost everything is to be digitized and <secret text=\"Storage in the basement will take place in a so-called 'climate-controlled compact archive' to ensure that it is kept for posterity.\">stored in the basement<\/secret>: Photographs of medieval Icelandic manuscripts, maps, records of places and names of people, dialect records from Funen, Zealand and the other Danish islands. Six million pieces of cultural heritage are to be filed online so the department can rent out the premises sometime next year.<\/p>\n<blockquote><p>We quickly agreed that you would rather sit closer to your colleague than not have a colleague<\/p>\n<p class=\"quotee\">Katr\u00edn \u00de\u00f3rd\u00eds Driscoll, Department of Nordic Studies and Linguistics<\/p>\n<\/blockquote>\n<p>They are ahead of schedule, says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll, who heads the digitization project.<\/p>\n<p>&#8220;It turns out we have some really skilled student assistants. From January to September we scanned what we expected we would spend a whole year on. So now we have expanded the project, and can reach more of the dialect research collections\u201d<\/p>\n<p>The remarkable thing about the digitization is not just the speed with which it is taking place. It is also the story behind why it is taking place at all. As the story really started with a severe budget cut that threatened to decimate the department\u2019s staff. Until someone got an idea.<\/p>\n<h2>Rescue plan<\/h2>\n<p>The cut was announced on 15 September last year to a large meeting on South Campus. So someone suggested digitizing the collections so that we could reduce our total space,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll.<\/p>\n<p>The rescue plan was as follows: 1) Quickly digitize the department&#8217;s collections, 2) store all the 6 million pieces of cultural heritage in the basement, 3) Move all the staff together to the 2nd and 3rd floor, 4) rent out the surplus space.<\/p>\n<p>The digitization would cost money, but the former director Jytte Sander French estimated that since the hardest cuts were scheduled for 2019, and since several employees had accepted voluntary severance plans during the 2016 round of layoffs at UCPH, there was money for the project.<\/p>\n<p>Associate professor Peder Gammeltoft was given overall responsibility, and Katr\u00edn \u00de\u00f3rd\u00eds Driscoll \u2013 a master\u2019s graduate in history and a <secret text=\"As a student assistant Katr\u00edn digitized the Dictionary of Old Norse Prose.\">former student assistant at NFI<\/secret>\u2013 was taken on to head a team of 15 student assistants that would carry out the digitization.<\/p>\n<p>&#8220;The digitization had been an aspiration for the Department for 10-15 years, but we had never really had time for it,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll.<\/p>\n<p>The cuts, paradoxically, now yielded the missing resources.<\/p>\n<h2>The students<\/h2>\n<p>A bulletin board hangs in a large office on the fourth floor with pictures of the students working on the digitization project.<\/p>\n<p>One of them, Caroline Boolsen from linguistics, sits two metres away and focusses on a computer screen. For her, the project has been a golden opportunity to work with, and not just reading about her field.<\/p>\n<p>\u201cSome of the scanning is routine, but you always have to think, and use your academic skills to ensure a good result. She is currently in the middle of a project-oriented process on Shetland place names, an idea she got \u200b\u200bduring the digitization.<\/p>\n<p>&#8220;Several independent projects have sprung out of digitization,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll. &#8220;We have one who started up as an intern and who now has short project appointment to look at Greenlandic place names. And we have another student assistant who was interested in manuscripts and who is currently working on communicating medieval manuscripts online.&#8221;<\/p>\n<p>At the department, they regard the students as research colleagues, she says:<\/p>\n<p>&#8220;We hope they see it like this: That they as part of their education are allowed to see what is the basis for research and how a research community works &#8211; and be a part of it.&#8221;<\/p>\n<h2>Had no metadata<\/h2>\n<p>It was almost too good to be true: That slashing a department\u2019s budget could also lead to UCPH moving ahead on the digitization of cultural heritage, thereby amassing large amounts of data in one place so researchers, students and anyone else can easily investigate local place names or family names. And students at the same time would get important business and research experience and launch new research projects.<\/p>\n<p>There is also a catch. At least if you by &#8216;digitizing&#8217; mean a complete online archive from the outset, where you can easily search across the collections.<\/p>\n<blockquote><p>We hope that money will be forthcoming to continue the project and make it more useful. This is what we want. But the finance situation of the Faculty of Humanities is as it is.<\/p>\n<p class=\"quotee\">Katr\u00edn \u00de\u00f3rd\u00eds Driscoll<\/p>\n<\/blockquote>\n<p>&#8220;We have imitated the search process in the physical collections, where you have to do a lot of scrolling. So that&#8217;s what you have to do in the database from the start,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll.<\/p>\n<p>The chronological collection of place names is searchable by year for example. You can search for sources from, say, 1445, but if you want to find out something about Roskilde in that year, you have to browse, also online.<\/p>\n<p>&#8220;But as soon as the database exists, you can change and add information. This can be done ad hoc. But you can also hope that there is money to hire people to enter more information,&#8221; says Katr\u00edn \u00de\u00f3rd\u00eds Driscoll.<\/p>\n<p>There is still alot of work left, in other words, in entering metadata to make the collections easily searchable. And Katr\u00edn \u00de\u00f3rd\u00eds Driscoll cannot say how long this will take.<\/p>\n<p>&#8220;It depends on how much money there is. We have already taken on more work than we have on our budget. We hope that money will be forthcoming to continue the project and make it more useful. This is what we want. But the finance situation of the Faculty of Humanities is as it is,&#8221; she says.<\/p>\n<p>She herself is hired for this specific project until the turn of the year, when the collections will be become available online. But she hopes to be able to stay on if there is funding to continue the project.<\/p>\n<p>The department reckons on vacating the 4th and 5th floors of building 27 around September 2018. The buildings were completed in 2002, and were to house the many departments at the Faculty of Humanities at UCPH.\r\n<blockquote>We have received approval from the Dean Ulf Hedetoft that the rental income from leasing floors five and six will be attributed to NFI.\r\n<p class=\"quotee\">Jytte Sander French<\/p>\r\n<\/blockquote>\r\nNow, at least one of them has to rent out 50 per cent of the department's space to businesses. This applies to the Department of Nordic Research (NFI) at the Faculty of Humanities, which holds its premises and archives on four floors in building 27 in KUA1. The department has been hit by demands to compress its office space to save DKK 9m annually from 2019.\r\n<h3>Rental income key part of the savings plan<\/h3>\r\nThe faculty hopes to earn four million kroner by renting out floors four and five on the commercial market. The DKK 4m is a key part of a more comprehensive cost cut plan. \"We have received approval from the Dean Ulf Hedetoft that the rental income from leasing floors five and six will be attributed to NFI,\" says Jytte Sander French, department administrator at NFI.\r\n\r\nIf successful, the department only has to save DKK 2 million from 2019, as it already has found DKK 3m in savings without having to lay off employees.\r\n\r\n&nbsp;\r\n\r\n&nbsp;\n<!-- end of module 1 -->\n<h3>The collections will go to the basement, but will be digitised<\/h3>\r\nEven if there is a plan, there are still unknowns.\r\n\r\n\"We do not know anything yet about when we will be seeking tenants. It all depends on when we can move our collections from the top two floors down to the basement,\" says Jytte Sander.\r\n\r\nNFI has collections of maps \u2013 which can be used for name research \u2013 notes and photo collections, and the department needs to have them digitized before they can empty the two floors for them.\r\n\r\nThe compression of the department\u2019s working space may actually bring about something positive:\r\n\r\n\"You can say that the need to cut costs is the direct reason why we are now getting them digitized, and more people will enjoy the collections when they are on the Internet. We have for years thought of getting it done, but now we can do it so the reduction of workspace is not only a bad thing. It has a bit of good in it too,\" says Jytte Sander.\r\n<h3>DKK 7m to be saved in the entire building 27<\/h3>\r\nNobody knows yet who it is that will move in. UCPH describes - on the university website - the option of having entrepreneurs and small businesses rent office space or laboratory facilities at UCPH for a limited period. And in the so-called Struensee report from June 2016 describing how the Faculty of Humanities can meet the government's austerity plans, it states that \u201ctermination of Humanities\u2019 building 27 will result in an annual saving of DKK 9.7m\u201d.\r\n\r\nSo even though the whole of building 27 has been targeted for cuts, it seems now to have escaped by only losing two floors. The bottom two floors, ground floor and first floor, are used by students.\r\n\r\nThe economic uncertainties that follow from the plan to save square metres, were not planned:\r\n\r\n\"It naturally came as a big surprise to us that we should save this much money.
